Forecasting and Planning Analyst, Academic Operations

Position Overview:

The Academic Operations Forecasting and Planning analyst is responsible for managing the forecasting/planning and the overall health of complex on-demand teaching schedules for all Open Education institutions including Open English, Open English Junior, and Next U. This role will regularly review live class usage data and will use advanced analytical methods to help the team identify and solve problems, optimize operations, and use data to make better decisions.  The results will be optimized schedule planning, recommendations for staffing, and ideas for increasing efficiencies.
 
Responsibilities:
  • Uses statistical analysis to optimize on-demand teacher and tutor scheduling.
  • Uses predictive modeling to forecast staffing levels.
  • Advises managers on the impacts of various options for problem solving.
  • Oversees the scheduling functions related to the creation, publishing, and support of our Live Class schedules.  Makes adjustments to schedules and forecasts weekly and quarterly based on analysis.
  • Captures, stores and reports on scheduling statistics needed to support scheduling strategies. Primarily uses scheduling forecast models and in-house reporting.
  • Provides detailed analysis and recommendations for staffing levels on a weekly basis.
  • Proactively communicates scheduling observations and strategies pertaining to changes in forecasts, weekly adjustment needs, seasonal variation, and high rejection times. Empowered to propose policies, procedures, and process improvement strategies as they relate to scheduling.
  • Strives to meet quarterly goals. Communicates strategic scheduling plans as well as process improvement strategies related to meeting scheduling needs and goals.
  • Manages Scheduling Support team personnel and oversees support processes and issues including but not limited to teacher availability, absence forms, shift change forms, and data management in our scheduling system.
  • Oversees invoice inquiries as they pertain to teacher adherence. Ensures payment exceptions are submitted when necessary.
  • Ensures that scheduling emails and tickets are responded to in a timely fashion and within our advised SLAs.
  • Collaborates with other teams within the Academic Operations Department when necessary on cross departmental processes and projects and works towards common goals.
  • Serves as the Scheduling system business owner. Vets all scheduling system improvements and changes as they relate to the schedule processes.
  • Completes special projects/tasks as assigned.
 
Qualifications:
  • Education: Bachelor degree in Operations Research, Management Science, Analytics, Math, Engineering, Computer Science, or related field.  
  • 4 years of related experience in workforce management
  • Analytical skills for forecasting, data mining, and statistical analysis
  • Writing skills for reports and documentation
  • Knowledgeable of relevant software and programming languages
  • Math skills such as statistics, calculus, algebra, etc.
  • Problem solving skills
  • Preferably bilingual (Spanish and/or Portuguese and English)
  • Able to independently manage work time
  • Strong interpersonal and communication skills
